Understand the technology before you adopt it.
32+ AI and business automation terms, from AI Chatbot to Workflow Automation.
- 01AI (Artificial Intelligence)
- Technology that enables computers to learn from data and make decisions the way humans do. In a business context, AI is used for automation, data analysis, and personalized services.
- 02AI Automation
- Using artificial intelligence to carry out repetitive tasks automatically without human intervention. Examples: replying to emails automatically, processing documents, or analyzing sales data in real time.
- 03AI Agent
- An AI program that can act independently to complete complex tasks, plan steps, use tools, and make decisions without needing instructions at every turn. This differs from a chatbot, which only answers questions.
- 04AI Chatbot
- An AI-based program that can interact with users through text or voice conversations. Unlike older rule-based chatbots, modern AI chatbots use a Large Language Model (LLM), so they can understand context and answer unstructured questions.
- 05AI Integration
- The process of connecting AI systems with the systems your business already has (ERP, CRM, spreadsheets, WhatsApp Business, or internal databases) without having to replace legacy infrastructure.
- 06API (Application Programming Interface)
- An interface that allows two software systems to communicate with each other. In the context of AI, APIs are used to connect AI models (such as GPT or Claude) with your business applications.
- 07Automated Workflow
- The automation of a series of work steps (a workflow) that are usually done manually. Example: when a customer fills in a form → the data automatically goes into the CRM → a confirmation email is sent → the sales team gets a notification, all without human involvement.
- 08Business Intelligence (BI)
- The process of collecting, analyzing, and visualizing business data to support decision-making. Modern AI-powered BI can deliver automated insights and predictions, not just static reports.
- 09WhatsApp Chatbot
- An AI bot integrated with the WhatsApp Business API to answer customer messages automatically. It can handle FAQs, stock checks, and order confirmations, and hand off to a human CS agent when needed.
- 10CRM (Customer Relationship Management)
- A system for managing customer interactions and data. When integrated with AI, a CRM can automatically categorize leads, predict churn, and recommend the best actions for the sales team to take.
- 11Data Pipeline
- A series of automated processes that collect data from various sources, clean it, and move it to a destination such as a dashboard or an analytics database. Critical for businesses that want real-time, data-driven decisions.
- 12Discovery Call
- An initial consultation session (usually 30-60 minutes) between an AI vendor and a client to understand business needs, pain points, and goals before putting together a solution proposal. At Ventera AI, the discovery call is free.
- 14ERP (Enterprise Resource Planning)
- An integrated system for managing core business processes: finance, HR, production, and supply chain. Integrating AI with an ERP enables demand forecasting, anomaly detection, and automated reporting.
- 15GEO (Generative Engine Optimization)
- Optimizing content so it is easy for generative AI engines such as ChatGPT, Perplexity, and Gemini to find and cite. Unlike traditional SEO, which focuses on Google Search, GEO focuses on AI search engines.
- 16Hallucination (AI)
- When an AI model produces information that sounds convincing but is actually wrong or doesn't exist. This is important to understand when using AI for content or business decisions: always verify AI output on critical matters.
- 17ICP (Ideal Customer Profile)
- A detailed profile of the ideal customer based on characteristics such as industry, company size, job title, and the problems they face. Used in outbound sales to target the prospects most likely to convert.
- 18Large Language Model (LLM)
- An AI model trained on billions of texts to understand and generate human language. Examples: GPT-4 (OpenAI), Claude (Anthropic), Gemini (Google). LLMs are the foundation of most modern AI chatbots and assistants.
- 19Lead Generation
- The process of identifying and attracting potential customers (leads) who may buy your products or services. With AI, lead gen can be automated: scraping, enrichment, and even the first outreach email.
- 20Machine Learning (ML)
- A branch of AI in which computers learn from historical data to make predictions or decisions without being explicitly programmed. Business examples: customer churn prediction, product recommendations, fraud detection.
- 21No-code / Low-code AI
- Platforms that let you build AI solutions with little or no coding. Examples: Make (Integromat), n8n, Zapier with AI steps. Good for simple automation; complex enterprise solutions usually need custom development.
- 22NLP (Natural Language Processing)
- A branch of AI that enables computers to understand, interpret, and generate human language. NLP is the technology behind chatbots, sentiment analysis, email classification, and speech-to-text.
- 23OCR (Optical Character Recognition)
- Technology that converts text in images or PDFs into text that computers can edit and process. In AI document processing, OCR is used to read invoices, contracts, and forms automatically.
- 24Outbound Sales / SDR
- A sales approach in which the team actively reaches out to potential customers (cold outreach), as opposed to inbound, where customers come to you on their own. An SDR (Sales Development Representative) handles prospecting and lead qualification before handing leads over to an Account Executive.
- 25Pilot Project
- A small-scale trial project to prove the value of an AI solution before full implementation. It usually covers one workflow or use case, with a 2-4 week timeline. The best way to start adopting AI with minimal risk.
- 26Prompt Engineering
- The art of writing the right instructions (prompts) to get optimal output from an AI model. Good prompts produce more accurate, relevant, and consistent responses.
- 27RAG (Retrieval-Augmented Generation)
- A technique that combines retrieving information from specific databases/documents with the generative capabilities of an LLM. It lets AI answer questions based on your business's internal data, not just general training data.
- 28ROI (Return on Investment)
- A measure of the return gained from an investment, usually expressed as a percentage. For AI automation: ROI is calculated as time savings + revenue increase, divided by the implementation cost.
- 29SaaS (Software as a Service)
- A subscription-based software business model accessed over the internet, with no installation needed. Examples of Ventera SaaS products: SalesMetriX, Wangsulan, TalentRank. They can be used right away without any technical setup.
- 30UMKM (Micro, Small, and Medium Enterprises)
- A business category in Indonesia based on asset size and revenue. AI is now increasingly affordable and relevant for MSMEs, not just large companies. Ventera AI specializes in AI solutions that fit Indonesian businesses from MSME scale up to enterprise.
- 31Webhook
- A mechanism that lets one application send real-time data to another when a specific event occurs. For example: when a new order comes in on Tokopedia → a webhook triggers an automatic update in a spreadsheet and a notification to the team's WhatsApp.
- 32Workflow Automation
- Automating a series of repetitive tasks in a business process using software. AI workflow automation goes a step further: the system can make decisions, handle exceptions, and learn from patterns to improve accuracy.
